Level 4: Fully operationalized

The process for designing a transparent AI system can vary depending on the business and your strategic planning approach. 

But usually, it's broken down into three core ideas: theory, planning, and action. Below is an in-depth look at each step: 

1.Theory: Discuss with your leadership team

Designing AI systems people can trust starts at the top. Bring your leadership team together to discuss the strategic importance of responsible AI and implementation process. In the meeting:

  • Educate executives on AI capabilities and the value of responsible AI
  • One-on-one discussions with each stakeholders about how responsible AI impacts their function, emerging compliance requirements, and cross-functional alignment
  • Decide on a dedicated AI leadership member to guide strategy, secure buy-in, and oversee adoption.

2. Planning: Create an AI Strategy

Begin by clearly stating the purpose of your AI initiatives. Define what you aim to achieve with AI - be it improving customer experiences, boosting operational efficiency, or driving innovation. 

Next, identify your AI team. Depending on your business, this could be just one person. However, it’s good practice to have a small team of dedicated individuals to oversee core areas such as data management, model development, and compliance monitoring.

2. Data management 

This section highlights how data will be managed and used across softwares by support team, for example:

  • List out all the current tools the team is using, such as CRM platforms, AI monitoring dashboards, ticketing systems, and analytics software.
  • For any new tool adoption, define clear policies outlining how it will be used, how data will be protected, and who is responsible for monitoring and compliance.

3. Governance framework
